Booking + Before

What is the maximum amount of guests that can be accommodated?

650 seating capacity. The Hidden Willow will provide seating to accommodate 300 guests. If additional seating is needed, arrangements can be made.

How many tables and chairs are available?

We provide 300 seats. Tables include 36 round tables and 6 rectangular tables designed and arranged to your preference.

Is there a coordinator for the day of the wedding?

The venue does not provide day of coordinating.

Can we take engagement or bridal photos before our event?

Yes! We offer one complimentary 2- hour engagement or bridal shoot session on our property upon availability.

Do you provide additional decor?

The Hidden Willow has additional decor options to add to your package. This includes table decor, floral, arches, hedge wall, and more!

How does rehearsal work?

The Hidden Willow will allow you a one hour rehearsal time 24-48 hours before the wedding. If extra hours are desired, then you will be able to add them for an additional rate of $175/hr, if the venue is available.

Is there a security deposit?

There is a $500 security deposit due on the day of contract signing. To secure your desired wedding date, the security deposit, 25% of event total, and contract signing must occur.

When is the payment due?

The final payment is due in full 2 months before the event. Cash, check, PayPal, Square, Venmo, and Credit Card is accepted at this time. (Payment for debit or credit come with 2.9% processing fee.)

During Your Event

How long do we have the venue?

You will have exclusive access to The Hidden Willow from 8:00 AM to 11:30 PM (15.5 hours) on the day of your event. The last hour is designated for the couples send off and clean up. The Hidden Willow will not extend hours past 11:30 PM.

What are the decorating restrictions?

We do not allow staples, nails, screws, or duct tape on walls or floors. 3M command hooks are the best to use if you wish to hang anything in the venue, but please notify before using. If you have any other decorations you want to use and are unsure if they are welcome, please contact us for clarification.

What is the alcohol policy?

If alcohol is served at your event, The client is responsible for hiring security and arranging a TABC certified bartender. The Hidden Willow will provide a list of our preferred vendors. The Hidden Willow prefers guests to be served beer, wine and champagne. Spirits can be arranged upon request.

Are our guests allowed to smoke or use e-cigs?

Yes, we have a designated area for smoking guest. However, we are a non-smoking facility inside; including e-cigs. All cigarettes must be extinguished in the smoking poles. Cigarettes found on the ground will result in the forfeit of your deposit.

After Your Event

How does clean-up work at the venue?

Set up and take down of chairs/tables are included in the venue fee. All items brought by you, your vendors, or guests are to be removed by the end of your rental period. The Hidden Willow provides an onsite dumpster for your event garbage, vendor trash, and any other waste created from your time at the venue. If additional clean up is required, this could effect your security deposit refund.

When do I receive my security deposit return?

You will receive your security deposit within ten days after your event once we thoroughly inspected the venue and property for damages.
